The schedule template below can be used directly by brand content owners, project managers, and procurement teams when comparing vendors.
Lock the Launch Date First; Do Not Treat the Shoot Date as the Production Cycle

Put the launch date in the first cell of the procurement table and “non-movable milestones” in the second, such as a product launch, trade show, advertising-account activation, or product-page synchronization. Then work backward from the final version-acceptance date rather than hearing “one day on set” and calling the project a one-week production.
The first question I ask a vendor is: if the sample arrives two days late, which cell gets compressed? If the brand needs one more storyboard review, does editing still have a window? The creative director’s judgment is simple: if a schedule has no waiting cell, rework will inevitably disguise itself as overtime.

Sample and Filmable Status: The Cycle Starts When the Product “Can Be Filmed”
Divide sample status into four checkboxes: the physical unit has arrived in Shenzhen, functions have been tested, the appearance will not change further, and packaging and accessories are complete. If the product is still being prototyped, the storyboard can describe actions first but should not lock down specific structures, colors, or button responses.
- Sample arrival:Record the owners of shipping, inventory intake, and return so a missing unit is not discovered on shoot day.
- Reproducible demonstration:Capture one test clip each of startup, connection, usage result, and failure state.
- Accessible setting:Confirm access hours and noise limits for a Shenzhen studio, office, kitchen, or retail location.
- Acceptable shots:Map each selling point to one action, one close-up detail, and one deliverable version.
This step directly affects lighting, camera positions, and storyboards. If the sample cannot yet demonstrate its function reliably, put functional testing into the schedule instead of hiding production risk behind an attractive still life.
Script, Arrival, and the Shenzhen Set: List Waiting Time Separately
Divide the production cycle into five columns: script confirmation, sample test, Shenzhen arrival, first edit, and revision acceptance. Give each an owner and latest confirmation time. The brand owns selling points and prohibited claims; the production team owns shot tasks, lighting scheduling, sound recording, and asset organization; and the project manager keeps changes within the same table.
A more common on-set reality is that the location need not be crowded, but someone capable of confirming product status must be present. My on-set judgment is this: a shot is not ready to roll until someone can clearly state on site “what we are filming, why we are filming it, and which version will receive it.”

Platform Versions Consume the Post-Production Window

A Production-Cycle Schedule You Can Hand to Vendors
Copy the fields below, ask each vendor to fill them using the same definitions, and then compare quotation, team, and timeline:
- Target milestones:Launch date, media-buying date, and product-page update date, with non-movable items marked.
- Sample status:Quantity, version, function tester, shipping address, and filmable date.
- Shot tasks:Action, close-up, setting, lighting, and storyboard approver for every selling point.
- Shenzhen execution:Studio or exterior, attending personnel, access hours, setup changes, and backup time.
- Version list:Main film, product-page video, TikTok Shop vertical version, YouTube Shorts, advertising cuts, and subtitle languages.
- Acceptance rounds:Dates, feedback entry point, and signatories for the first cut, revised cut, and final master.
If a vendor provides only “1 shooting day and 5 post-production days” without sample waiting time, approval buffer, version count, and acceptance owners, it is not a complete schedule.
